Businesses Make — And How to Fix Them
Most small business breaches aren't the result of sophisticated state-sponsored attacks. They're the result of basic, preventable mistakes that a lot of SMBs are making right now.
Every week, thousands of small businesses across the United States experience security incidents. Some are minor — a phishing email caught by a sharp employee, a suspicious login from an unfamiliar location. Others are catastrophic — ransomware that encrypts everything, a business email compromise that results in a $75,000 fraudulent wire transfer, a data breach that exposes thousands of customer records and triggers regulatory investigations.
What's striking about most of these incidents is how preventable they were. In our experience responding to security incidents at small businesses, the vast majority trace back to one of five fundamental mistakes. Here's what they are — and how to fix them.
Mistake #1: No Multi-Factor Authentication
This is the single most common preventable cause of business account compromises, and it's also the easiest to fix. Multi-factor authentication (MFA) requires a second form of verification — typically a code on your phone — in addition to a password. Even if an attacker steals or guesses your password, they still can't access your account without that second factor.
According to Microsoft, MFA blocks over 99.9% of automated account compromise attacks. Yet a significant percentage of small businesses still don't have it enabled on critical systems — email, banking portals, accounting software, cloud storage.
The Fix: Enable MFA on every account that supports it, starting with Microsoft 365 (or Google Workspace), your banking and financial accounts, your accounting software, and any system with access to client data. This takes less than an hour to set up and is often free.
Mistake #2: Ignoring Software Updates
When Windows or your software tells you an update is available, that notification isn't just about new features. Security patches fix specific vulnerabilities that attackers are actively exploiting. Delaying or skipping updates leaves your systems exposed to attacks that could have been trivially prevented.
The 2017 WannaCry ransomware attack — which infected over 200,000 computers in 150 countries and caused billions in damages — exploited a Windows vulnerability that Microsoft had released a patch for two months earlier. Businesses that had applied the patch were unaffected.
The Fix: Enable automatic updates for your operating system and applications, or work with an IT provider who manages patching for you. Patching should happen regularly and on a defined schedule — not only when something breaks.
Mistake #3: Untested Backups
Most small businesses that have backups have backups they've never actually tested. This is a critical distinction. Backup software that runs nightly doesn't mean you have working backups — it means you have backup files that might or might not be usable in a recovery scenario.
We've worked with businesses that discovered during a ransomware recovery that their backups hadn't been working for months, their backup drive had failed silently, or the backup system required a license key they no longer had. All of this is discovered only when recovery is urgently needed.
The Fix: Test your backups. Actually restore files from your backup system and verify they're intact and accessible. Do this at least quarterly. If you're using a cloud backup service, confirm your recovery process with your IT provider before you need it.
Mistake #4: No Security Awareness Training
Your employees are your most important security control — and potentially your biggest vulnerability. Phishing, social engineering, and credential theft all rely on human error. Security awareness training teaches employees to recognize and report threats before they cause damage.
The evidence for training effectiveness is overwhelming. Organizations with security awareness programs consistently experience significantly fewer successful phishing attacks than those without. The training doesn't need to be long or expensive to be effective — monthly simulated phishing tests and brief training modules make a measurable difference.
The Fix: Implement a security awareness training program that includes simulated phishing tests and short monthly training modules. Many IT providers include this as part of their security stack. The goal isn't to catch people — it's to build a security culture where everyone knows what to look for.
Mistake #5: Treating Security as a One-Time Project
The most dangerous misconception about cybersecurity is that it's something you "complete." Many small businesses have at some point hired someone to set up a firewall and install antivirus software, and consider themselves protected. But the threat landscape changes constantly — new attack techniques, new vulnerabilities, new malware variants emerge every day.
Security isn't a destination. It's an ongoing practice. The businesses that get breached aren't necessarily the ones that never set up security — they're often the ones that set it up three years ago and haven't revisited it since.
The Fix: Treat security as an ongoing practice, not a project. This means regular patching, quarterly security reviews, continuous monitoring, and annual security assessments. If you're working with a managed IT provider, make sure security is explicitly included in your agreement — not assumed.

Your Business Backup Strategy
Is Probably Broken. Here's Why.
Having a backup system and having a working backup strategy are two completely different things. Most businesses have the former without realizing they lack the latter.
When we work with a new client, one of the first things we review is their backup situation. The results are consistently concerning. Most businesses have some form of backup — an external hard drive, a cloud sync, a Windows backup — and most of those businesses would tell you confidently that they have good backups. But when we dig into the details, we find critical gaps far more often than not.
The 3-2-1 Rule (And Why Most Businesses Don't Actually Follow It)
The 3-2-1 backup rule is the industry standard framework: keep at least 3 copies of your data, on at least 2 different types of storage media, with at least 1 copy stored offsite. The logic is simple — different failure modes affect different storage types, and geographic separation protects against local disasters like fire, flood, and theft.
A business that backs up to a single external drive plugged into the same server it's backing up satisfies none of the 3-2-1 criteria. If the server fails or is infected with ransomware, the backup drive is likely compromised too.
In practice, implementing 3-2-1 for most small businesses looks like this: local backup (to a NAS or backup appliance), plus cloud backup (to a service like Backblaze, Azure Backup, or a managed backup solution). This is affordable, straightforward, and satisfies the 3-2-1 criteria.
The Problem With "Cloud Sync" Backups
Many small businesses believe that because they use OneDrive, Dropbox, or Google Drive, they have a backup. They don't — not a proper one. Cloud sync services are designed to keep files synchronized across devices. They are not backup systems. Key limitations include:
- Ransomware syncs too: If ransomware encrypts files on your computer, the encrypted versions sync to the cloud, overwriting your clean versions
- Deletion syncs too: If an employee deletes files (deliberately or accidentally), the deletion syncs to all devices and the cloud
- Version history is limited: Most sync services have limited version history that may not go back far enough to recover from a serious incident
The Most Important Thing: Test Your Recovery
Here's the thing most businesses don't do: they never actually test whether they can recover from their backups. Running backup software isn't the same as having working backups. Backup systems can fail silently — expired licenses, full storage, permission errors, software bugs — and you won't know until you need to restore.
A proper backup program includes regular recovery testing. This means actually restoring files from your backup to verify they're intact, accessible, and correct. For most small businesses, doing this quarterly is sufficient. For businesses where data continuity is critical (healthcare, legal, financial services), monthly or even weekly recovery tests are appropriate.
What a Good Small Business Backup Strategy Looks Like
Here's a practical framework for most small businesses:
- Local backup: A NAS (Network Attached Storage) device or backup appliance that takes daily snapshots, enabling fast local recovery
- Cloud backup: An offsite cloud backup of critical data, retained for at least 30 days to allow recovery from ransomware that wasn't immediately detected
- Immutable copies: For businesses with serious ransomware risk, ensure at least one backup destination uses write-once storage that can't be modified or deleted by ransomware
- Recovery testing: Quarterly restore tests, documented and reviewed
- Clear RTO/RPO targets: Know how much downtime you can tolerate (Recovery Time Objective) and how much data loss is acceptable (Recovery Point Objective)

Ransomware has become one of the most significant threats facing small and medium businesses today. In 2024, ransomware attacks increased for the third consecutive year, with SMBs accounting for the majority of victims. The criminal groups behind these attacks have professionalized their operations in ways that make them more dangerous, more persistent, and more targeted than ever before.
How Ransomware Has Changed
Early ransomware was relatively indiscriminate — mass campaigns that infected anyone they could reach, often for relatively small ransoms of a few hundred dollars. Today's ransomware landscape is completely different:
- Ransomware-as-a-Service (RaaS): Criminal groups now operate like businesses, selling ransomware tools to "affiliates" who carry out attacks in exchange for a percentage of ransoms collected. This has dramatically increased the number of active attackers.
- Double extortion: Modern ransomware groups don't just encrypt your data — they steal it first, then threaten to publish it publicly unless you pay. This means even businesses with good backups face extortion pressure.

The SMB Ransomware Risk Profile
The average ransomware demand has increased significantly in recent years, with demands to small businesses now commonly ranging from $50,000 to several hundred thousand dollars. But the ransom itself is often the smallest part of the total cost.
The full cost of a ransomware attack on a small business — including downtime, recovery, legal fees, breach notification, and reputational damage — averages over $200,000. Many businesses that pay the ransom still experience significant downtime and recovery costs in addition to the payment itself.
How Ransomware Gets In
Understanding how ransomware enters organizations is essential to preventing it. The primary entry vectors for SMBs:
- Phishing emails: Malicious attachments or links that, when clicked, download malware or steal credentials used to access systems. Still the most common initial access vector.
- Credential stuffing and password attacks: Using stolen credentials (often from data breaches) to log into business systems directly via RDP, VPN, or web applications.

- Email security: Advanced email filtering with sandboxing and impersonation detection as the first line of defense, since most attacks start with email
- MFA everywhere: Multi-factor authentication on all accounts, especially remote access — prevents credential-based attacks even when passwords are compromised
- EDR (Endpoint Detection and Response): Next-generation endpoint protection that can detect and stop ransomware execution in progress, not just signature-based detection
- Patching: Consistent, rapid patching of operating systems and applications to close the vulnerabilities attackers exploit
- Network segmentation: Limiting attackers' ability to move laterally through your network even if they get a foothold
- Immutable backups: Backup copies that can't be modified or deleted even by an attacker with admin credentials
- Security awareness training: Employees who can recognize phishing and social engineering attempts
- Incident response plan: A documented, tested plan for what to do if ransomware does execute — so you're not making decisions under extreme pressure
What To Do If You're Hit
If ransomware executes in your environment, the first minutes matter enormously. The right immediate steps: isolate affected systems by disconnecting them from the network (but don't turn them off), preserve evidence by taking photographs of ransom notes and error messages, contact your IT provider and/or incident response team immediately, and don't pay until you've consulted with your IT provider and legal counsel. Paying doesn't guarantee data recovery and funds criminal operations.
Businesses that have a working backup and tested recovery procedures are in a dramatically better position than those that don't — which is why backup integrity is one of the most important elements of ransomware preparedness.
